01 — The challenge

A healthcare services firm was running client intake, document exchange and case tracking across email attachments and three separate SaaS subscriptions. Files went missing, clients phoned for status updates daily, and sensitive documents traveled through channels never designed for them. They needed one secure home for the entire client relationship — without enterprise-portal pricing.

02 — The build

We designed and built a custom portal around their actual workflow: role-based client logins, encrypted document upload and storage, case status tracking clients can check themselves, and an admin dashboard giving staff a live view of every account. Email notifications keep both sides informed automatically. The stack is deliberately boring and dependable — hardened PHP and MySQL on managed infrastructure with automated backups — because a portal holding sensitive documents must simply never surprise anyone.

03 — The result

The portal replaced three overlapping SaaS subscriptions and their per-seat fees, and the daily 'what's the status?' phone calls largely disappeared — clients now self-serve. Documents live in one encrypted, audited place. Measured by our own grader, the public site scores 93/100 with a 62ms server response.

Questions this case answers

What does a portal like this cost?

Custom client portals start around $4,000 depending on workflows and integrations. This build paid for itself by replacing three SaaS subscriptions — the break-even math is often faster than owners expect.

Is a custom portal secure enough for healthcare-adjacent documents?

Yes — encryption in transit and at rest, role-based access, session controls and audit trails. We walk every client through the security model in plain English before building.

Can you build something similar for my industry?

The pattern travels: accountants, law firms, agencies and contractors all run on the same loop of documents, status and payments. The portal adapts to the workflow, not the other way around.
